Paper defect books vs digital walkaround checks
An honest comparison for fleet operators: where paper defect books still work, the five ways they fail as you grow, and what actually changes when you go digital.
Paper defect books are not stupid. They are cheap, they need no training, they work when the phone signal does not, and for a two-van operation they are entirely adequate. Anyone who tells you otherwise is selling something.
The honest question is not whether paper works. It is at what point it stops working, and what specifically breaks.
Where paper genuinely holds up
Give paper its due:
- No dependency on anything. No battery, no signal, no account, no supplier.
- Zero learning curve. Every driver who has ever worked anywhere knows how to fill in a book.
- Trivially cheap. A book costs a few euro.
- Legally acceptable as a record. A completed paper check is a record. Nobody is going to reject it for being on paper.
If you run three vehicles from one yard and see every driver every morning, paper is a reasonable answer and switching may buy you very little.
The five things that break as you grow
1. The record does not move
This is the fundamental one, and everything else follows from it. What the driver writes stays in the cab. The office finds out when the book is physically collected — end of week, end of month, or when someone remembers.
Every other problem on this list is a consequence of a record that sits still.
2. Defects get reported later, or stop being reported
A driver writes up a defect. Nothing visible happens. They write up another. Still nothing. By the third one they mention it verbally to a colleague, and after that they stop bothering.
This is not a discipline problem. It is a completely rational response to a system where reporting appears to achieve nothing. The information was there; the loop was never closed.
3. You cannot see what did not happen
A paper system can only tell you about the checks in front of you. It has no way of telling you that four vehicles went out this morning without being checked, because an absent check produces no paperwork.
The vehicles that were not checked are usually the ones you would most want to know about.
4. Retrieval is disproportionately expensive
Producing twelve months of records for one specific vehicle means going through folders by hand — assuming every book was collected, filed, and filed against the right vehicle. This is fine right up until the moment somebody actually asks, which is invariably the moment when doing it slowly is least convenient.
5. Quality varies with conditions
Handwriting at six in the morning, in the rain, wearing gloves, is not a reliable medium. Boxes get skipped. Descriptions get shortened to a word. “Light out” does not tell the workshop which light, or how it failed.
What actually changes when you go digital
It is worth being precise about this, because the benefit is often oversold.
What does not change: the driver still walks around the vehicle and looks at the same things. The inspection is identical. Anyone promising that software makes the check itself better is overreaching.
What does change is everything that happens after the driver finishes:

The photo deserves particular attention. “Damage to nearside curtain” and a photograph of the damage are not the same information. One requires the workshop to go and look; the other lets them decide what to do before the vehicle arrives.
The objections worth taking seriously
“Our drivers are not technical.” The realistic test is whether it is simpler than the book. With Check Go the driver taps a tag on the vehicle with their own phone and the check opens in the browser. “Phone signal is poor at our yard.” A fair concern, and worth testing at the specific locations you operate from rather than assuming either way.

The question is what the current system costs you in time spent collecting and filing books, chasing defects, and retrieving records — plus the cost of the defect that was reported and never actioned. For some operations that adds up to less than the subscription. For most, once you are past a handful of vehicles, it does not.
“We tried an app before and drivers would not use it.” Usually the app was the problem: something to download, keep updated and explain to a new driver. Removing the install step removes most of that friction, which is precisely why the tag-and-browser approach exists. Drivers still register once and log in; they do not have to fetch anything from an App Store.
How to decide
A rough heuristic:
- Under about five vehicles, all operating from one yard where you see every driver daily — paper is probably fine.
- Multiple sites, drivers who start remotely, or anyone you do not see in person most days — the collection problem alone usually justifies a change.
- Anyone who has recently had to produce historical records and found it painful — that pain is the signal, and it recurs.
