Acceptable Use Policy

1. Introduction

This Acceptable Use Policy sets out the rules for using the Check Go Systems website, customer portal and related services. It applies to account holders, administrators, drivers, operators and anyone else authorised to use the platform on behalf of an organisation.

By using our services, you agree to comply with this policy, our Terms & Conditions and our Privacy Policy.

The Check Go Systems service is operated by DNS Software Group Unlimited Company, Company Number 758539, with an address at Unit 36, 1st Floor, Glenrock Business Park, Ballybane, Galway, H91 AY28, Ireland.

2. Permitted use

The platform must only be used for lawful business purposes connected with the operation, inspection, documentation or tracking of vehicles, plant and related assets. Depending on your subscription, permitted use may include:

  • completing and reviewing driver walkaround checks and daily vehicle inspections;
  • recording GA2 weekly checks for lifting equipment;
  • accessing NFC operator manuals and related machine documentation at the point of use;
  • viewing GPS tracking information for authorised vehicles or assets;
  • reporting defects, damage or non-compliance;
  • managing fleet, plant and compliance records in the dashboard;
  • receiving or sending operational notifications and reminders; and
  • exporting or reviewing reports for legitimate business purposes.

You must only access data, vehicles, machines, tags and accounts that you are authorised to use.

3. Prohibited activities

You must not use the platform to:

  • break any applicable law or regulation;
  • access accounts, records or locations you are not authorised to view;
  • interfere with or disrupt the platform, related systems or other users;
  • upload malware, harmful code or deliberately misleading content;
  • send spam, bulk unsolicited messages or abusive communications;
  • harass, threaten or discriminate against others;
  • collect or scrape data from the platform except as permitted by us;
  • reverse engineer, copy or resell the service except as permitted by law;
  • misuse NFC tags, QR links or access methods to redirect users to unrelated content; or
  • submit false inspection records, defects, locations or compliance information.

4. Content submitted by users

You are responsible for all data and content submitted to the platform, including inspection answers, defect reports, notes, photos, documents and uploaded files.

Submitted content must not:

  • breach any law or third-party rights;
  • contain offensive, unlawful or discriminatory material;
  • include unnecessary personal data about individuals; or
  • infringe copyright, trade mark or other intellectual property rights.

Where photos or documents include people, number plates or site details, you should only capture what is reasonably necessary for the inspection or operational purpose and handle that information in line with applicable data protection requirements.

5. Accounts, credentials and NFC tags

You must:

  • keep login credentials confidential;
  • use strong passwords and follow any security guidance we provide;
  • remove access promptly when staff, drivers or contractors leave;
  • fit and maintain NFC tags safely and only on authorised vehicles or machines; and
  • report lost credentials, missing tags or suspected misuse without delay.

You must not share accounts between individuals where individual accountability is required, unless we have agreed a shared-access arrangement with you.

6. System security

You must not attempt to:

  • bypass authentication, permissions or access controls;
  • probe, scan or test the platform for vulnerabilities without our written consent;
  • exploit any security weakness you discover; or
  • use automated tools to access the platform in a way that impairs service for others.

If you become aware of a suspected security issue, report it promptly to hello@checkgo.ie.

7. GPS, SMS and third-party services

Some features rely on third-party networks or providers, including mobile networks, SMS gateways and GPS or telematics services. You must not misuse those features to track individuals, vehicles or assets without proper authority, or to interfere with third-party systems connected to the service.

You are responsible for ensuring that drivers, operators and other users are appropriately informed where location data, reminders or operational messages are used.

8. Enforcement

We may investigate suspected breaches of this policy and may suspend or terminate access where we reasonably believe the platform is being misused.

Serious or repeated breaches may result in permanent account suspension, removal of access to specific features, or termination in accordance with our Terms & Conditions.

Where appropriate, we may also report unlawful activity to the relevant authorities.

9. Changes to this policy

We may update this Acceptable Use Policy from time to time.

When we make material changes, we will take reasonable steps to notify active customers. Continued use of the platform after the updated policy takes effect constitutes acceptance of the revised policy.
