Daily vehicle checks and CVRT: how the two fit together

How daily walkaround checks relate to CVRT roadworthiness testing for Irish commercial vehicles, and what to track in between to make a first-time pass predictable.

The Commercial Vehicle Roadworthiness Test is an annual event. Roadworthiness is not. That gap is where most fleet operators either quietly do well or quietly struggle, and it is almost entirely determined by what happens on the days when nobody is testing anything.

This guide looks at how daily walkaround checks and CVRT relate to each other, and what to track in between.

Two different things that get confused

CVRT is a periodic roadworthiness test carried out at an authorised test centre. It is a point-in-time assessment against a defined standard, and it results in a pass or a fail.

The daily walkaround check is an ongoing operational control, carried out before the vehicle is used, normally by the driver. It can also be carried out by a mechanic or another person trained to conduct it. It is not a test, it produces no certificate, and it is not a substitute for CVRT.

They are often spoken about as if one covers the other. They do not. Passing CVRT in March says nothing about the state of the vehicle in September, and a diligent daily check does not exempt a vehicle from testing.

What they have in common is that both are ultimately about the same thing: whether the vehicle is fit to be on the road.

Why the test result depends on the rest of the year

Most CVRT failures are not sudden. They are the visible end of something that has been developing for months: tyres worn past the point they should have been changed, a light that has been out for weeks, a leak that got noted and never got looked at, corrosion that nobody flagged.

A fleet with a functioning daily check process tends to have already found and fixed those items, because someone trained to do the check — normally the driver — walks around the vehicle every morning and somebody acts on what they report. A fleet without one arrives at the test centre and finds out what has been happening.

Put crudely: the test does not decide whether your vehicles are roadworthy. It reports on decisions you already made.

What to track between tests

Beyond the daily check itself, there are a handful of things worth having visibility of across the fleet at any given moment.

Expiry dates. CVRT due dates, motor tax and insurance renewals. These are predictable, which makes missing one particularly hard to explain. Tracking them somewhere that surfaces them before they arrive is more useful than a spreadsheet somebody remembers to open.

Open defects. Anything reported and not yet closed out. This is the list that matters most, because it is a record of problems you already know about.

Repair history per vehicle. What was reported, what was done, and when. Recurring items on the same vehicle usually mean the underlying cause was never addressed.

Check completion. Which vehicles were actually checked today. A process that is running at sixty per cent is not really running.

Age and condition patterns. Which vehicles generate disproportionate defect reports. This is the information that makes a replacement case rather than an argument.

The recurring-defect signal

The most useful thing a good record produces is not any individual entry. It is the pattern.

If the same vehicle reports a brake-related defect three times in four months, that is a fleet telling you something. So is a vehicle that has never reported anything at all in a year of daily checks — that is usually a checking problem rather than an unusually good vehicle.

Neither pattern is visible in a stack of paper defect books. Both are obvious in a system that holds every check against the vehicle it belongs to.

Building the habit that carries the test

There is no clever trick here. Fleets that pass first time tend to do a small number of unremarkable things consistently:

  1. Every vehicle gets checked, every day it is used, and the nil-defect results are recorded as well as the problems.
  2. Reported defects get an outcome, visibly, so drivers keep reporting.
  3. Expiry dates are tracked somewhere that warns you, not somewhere you have to remember to look.
  4. Somebody reviews the pattern periodically rather than only reading individual reports.
  5. The vehicle goes to test having already been looked at, so the test is a confirmation rather than an investigation.

None of that requires software. All of it is considerably easier with it, mainly because steps 1, 3 and 4 are the ones that decay first when they depend on people remembering.
